What a Copier Contract Really Costs Over Five Years
A copier contract looks small by the month and large by the end. Here is the arithmetic, in plain numbers, so you can see what you are signing before you sign it.
Where the money goes
- The monthly payment, multiplied by every month of the term
- Price rises built into the contract, often once a year
- Charges for each page you print, and sometimes a minimum
- Fees to end the contract early or to return the machine
- Paying for a machine that no longer fits your office
How to keep the number down
- Hire for as long as you actually need the machine
- Choose the machine for your real print volume, not the biggest one
- Compare hire, rental, lease and a used purchase side by side
- Ask what happens if your needs change
- Get every term in writing before you commit
These are examples of simple multiplication, not quotes and not our prices. They show how a payment that feels small becomes a five figure commitment. On top of that, a price rise of five percent each year turns $250 a month into about $16,577 over five years, which is about $1,577 more than the headline figure.
The point is not that a long contract is always wrong. If you know you will keep the same machine for years, a lease or rental can suit you. The point is to know the full cost, and to compare it with hiring only for the time you need, or buying a good used machine outright. We quote all of them side by side so you can see the difference. Month to month hire means you can change the machine or end the arrangement when your needs change, so ask us what notice applies.

Is hiring a copier cheaper than leasing?
It depends on how long you need the machine and how much you print. Hire costs more per month than a long lease on the same machine, but you pay only for the time you need it and are not tied to a five year term. We quote both so you can compare the total.
What is a managed print contract?
A managed print service is an arrangement where a supplier provides the machines and charges for the pages you print, often on a fixed term. Check the term, the price rises, the minimum volume and the exit terms before you sign.
Can I end a hire arrangement?
Yes. Hire is flexible. Ask us what notice applies to your arrangement and we will confirm it in writing.

Some leases and managed print contracts tie you to the same machine for five years or more. Hire is the flexible way to get a copier, and if it is not right, it can change.
Month to month
Hire for as long as you need the machine, whether that is a week, a month or a year. There is no five year term to sign up to.
Change it if it is not right
If the machine, your volumes or your plans change, tell us. Hire is flexible, so we can swap the model or adjust the arrangement. Ask us what notice applies.

We quote the machine, the term and what is included in writing before you commit. Delivery, installation and network setup are part of hire.
