Photocopier hire, rental and used copiers
Photocopier Hire and Rental
Hiring a photocopier gives you a current machine without the upfront cost of buying one. We arrange photocopier hire across Brisbane, the Gold Coast, the Sunshine Coast and northern New South Wales, with delivery, installation and ongoing servicing handled as part of the arrangement. Whether you need a copier for a short period or on an ongoing basis, it works the same way: one monthly cost, a machine matched to how much you actually print, and someone to look after it while you have it.
- No long term lease
- Delivered, installed and set up
- Brisbane, Gold Coast and Sunshine Coast

What affects the cost of photocopier hire
There is no single price for photocopier hire, because the right machine depends on how your office works. Four
things move the number:
-
How much you print. A machine built for two thousand pages a month costs differently to one built for twenty thousand, and putting a small machine on a heavy workload is the most common way businesses end up paying more than they need to.
-
Colour or black and white. Plenty of offices print colour occasionally and mono constantly. That mix changes what suits you.
-
Speed and finishing. Pages per minute, paper trays, stapling, booklets, scanning to email. Each of these is a real cost, so it is worth being honest about which you will genuinely use.
-
How long you need it. A week for an event and three years for an office are priced differently.
Tell us roughly how many pages a month you print and whether you need colour, and we can put a figure to it quickly rather than sending you a generic price list.
What a photocopier hire usually covers
Hire is normally arranged so the machine, its servicing and its consumables sit under one monthly cost instead of arriving as separate bills through the year. That typically covers:
-
Delivery and installation, including setting the machine up on your network
-
Servicing and repairs for as long as you have the machine
-
Toner and consumables
-
Support when something goes wrong
Exactly what sits inside the monthly figure is set out in writing when we quote, so there is nothing to discover later.
What is in the monthly figure, line by line
Delivery to your office and installation where you want the machine to sit. Set up on your
network, with printing and scanning working from every computer that needs it, and scan to
email connected to your email system. A walk through for whoever will use it most. Toner,
delivered before you run out. Parts, when something wears out. Service call outs, when
something goes wrong. Support by phone for the small things, which are most things.
Nothing else appears on the invoice unless you have asked for it. Paper is yours. Extra
copies above the volume you chose are charged at the rate on your agreement, and if you
are regularly over it we will talk to you about a machine that fits better rather than let the
overage run.
What happens when it breaks
You call us or email us. Most faults on a modern copier are jams, a consumable at the end
of its life, or a setting that has changed, and a lot of those are fixed on the phone while you
stand at the machine. If it needs a technician, one comes to your office. You are not asked to bring the machine anywhere and you are not sent to a manufacturer helpline. Parts and
labour are part of the hire, so there is no repair quote and no decision to make. If a machine turns out to be the wrong fit for the work, or keeps failing, we swap it. That is what hire is for.
What happens at the end
A hire runs month to month, so the end is whenever you decide. A rental or lease has a
term, and near the end of it you have four choices: hand the machine back, keep going on
the same terms, move to a newer or bigger model, or buy the machine you have. None of
those is a surprise, and we will raise it with you before the term is up rather than let it roll
over quietly. If you move office during the term, we move the machine and set it up again at the new address.
Short-term and long-term photocopier hire
Short-term hire:
Useful for events, conferences, temporary offices, a seasonal spike in work, or covering a machine that has gone down and needs replacing while it is repaired. You get a working copier without committing to anything beyond the period you need it.
Long-term hire:
Suits businesses that would rather not tie up money in equipment that loses value. You get a current machine, servicing built in, and the ability to change machines as the business grows rather than being stuck with something bought five years ago.
Hiring, leasing or buying: which makes sense
All three are reasonable depending on the business.
-
Buying outright costs the most up front and the least over time, provided the machine keeps suiting you and you budget separately for servicing and consumables.
-
Leasing spreads the cost of ownership over a fixed term. At the end you generally own the machine, which is worth having if it still fits how you work.
-
Hiring keeps the machine off your books and the servicing off your plate. It is the most flexible of the three and the easiest to change if your volumes move.
If you are not sure which of the three you want, describe what you print and we will tell you which we would recommend, including when that is not hire.

Common questions about photocopier hire
How much does it cost to hire a photocopier?
It depends on the machine's speed, whether you need colour, and how many pages you run each month. Rather than quote a price that may not apply to you, we would rather ask two or three questions and give you a figure that is actually right.
How quickly can I get a photocopier?
It depends on the machine and where you are. If you are without a working copier right now, say so when you call — those situations come up regularly and we deal with them differently to a planned upgrade.
Can I hire a photocopier short term?
Yes. Short-term hire is common for events, temporary offices and covering a machine that is out of action.
What happens at the end of a photocopier hire?
Depending on how the hire is set up, the options are usually to return the machine, extend, move to a different model, or discuss buying it. We set this out at the start so it is not a surprise later.
Is hiring a photocopier cheaper than buying one?
Month to month, usually. Over the full life of a machine, not necessarily. Hiring costs less up front and includes servicing; buying costs more up front and less over time if the machine keeps suiting you. Which is better depends on how long you plan to keep it and how much your printing changes.
Do you cover my area?
We hire across Brisbane, the Gold Coast, the Sunshine Coast and northern New South Wales. If you are outside that, call and ask.
Do you hire printers as well as photocopiers?
Yes. The same applies — tell us what you print and we will match a machine to it.
